Case Study for Portuguese SMEs

Email order automation for a wine and spirits distributor

Inuvem implemented an always-on automation layer that reads order emails in varied formats, interprets and normalises the data, and inserts everything into the billing system. The result was a 24/7 process, less manual entry, and throughput of up to 200 orders per hour in production.

The challenge

In supply chain and distribution, orders arrive by email in many different formats, with inconsistent structure, attachments, and varying levels of detail. When teams have to interpret everything manually and re-enter the data into the billing system, the process becomes slower, more error-prone, and dependent on human availability.

What Inuvem implemented

We designed an always-on workflow that reads emails and attachments, extracts the relevant information, normalises the fields, translates the request into the right structure, and inserts everything into the billing system. The goal was not to ship an AI demo, but to build a genuinely useful and continuous operational layer.

  • Automatic reading of order emails and attachments in varied formats
  • Extraction, normalisation, and validation before billing
  • Insertion into the billing system with traceability and explicit rules
  • 24/7 operations with logs, control, and manual fallback for exceptions

Why this matters for SMEs in Portugal

Most Portuguese SMEs do not need a massive transformation program to capture value from AI. They need one process with clear upside, fast production delivery, and a team that can keep operating and improving the workflow after go-live.
